# Workspaces

> Add people to your Newly workspace, choose their role, and see whose credits pay for their work.

A workspace in Newly, at app.newly.app and in Newly for Mac, is a set of projects and the people who work on them. Everyone in a workspace can open all of its projects, and every turn in them uses the workspace owner's credits.

To give someone one project instead of all of them, [share that project](https://docs.newly.app/code/sharing-projects.md).

## Your workspaces

Every account has a **Personal** workspace. It holds your own projects and the projects people have shared with you one at a time.

When someone adds you to their workspace, it appears under their name. Once you're in more than one, a switcher appears at the top of Home's sidebar. It shows the workspace you're in, its credits and your role there. Select it to pick another workspace.

The workspace you pick decides:

* Which projects Home lists.
* Where new projects are created.
* Whose credits Home and billing show.

If you're removed from a workspace while it's selected, Home switches back to **Personal**.

## Add people to your workspace

The owner and anyone with **Admin** can add people, change their role and remove them.

**1. Pick the workspace**

On Home, pick the workspace in the switcher. If you only have **Personal**, there's no switcher, and you manage your own workspace.

**2. Open Workspace settings**

Go to **Settings** → **Workspace**.

**3. Add the person**

Enter the address they sign in with and choose a role.

**4. Confirm**

Select **Add**. Newly checks the address and asks "Add ... to this workspace?" with the person's name. Select **Yes, add**.

The person must already have a Newly account. If they don't, you see "No Newly account for" followed by the email address. Ask them to [sign up](https://docs.newly.app/get-started/sign-in.md) first, then add them again.

To change someone's role, select their current role and pick a new one. To remove them, pick **Remove from workspace**. The owner's role can't be changed and the owner can't be removed. You can't change your own role.

> [!NOTE]
>
> There's no button to leave a workspace yourself. Ask its owner or an admin to remove you.

## Roles

| Role | What they can do |
| - | - |
| **Owner** | "Owns the workspace and pays for it" |
| **Admin** | "Everything in every project, and manages people" |
| **Editor** | "Prompts in every project; cannot delete chats or download code" |
| **Viewer** | "Watches chats and previews; cannot prompt or see code" |

A few details:

* **Admin** has full access to every project in the workspace, including sharing, deleting and stopping chats.
* **Editor** can create projects and prompt in every project in the workspace, including ones other people created. That includes projects they created themselves: an Editor can't share, delete or transfer any project, even their own.
* **Viewer** is read-only and can't create projects. A viewer who tries sees "Viewers cannot create projects in this workspace."

On billing, only the **Owner** can buy credits or change the plan. An **Admin** can see billing but can't pay. **Editor** and **Viewer** don't see billing.

## Who pays

Every agent turn in a workspace's projects uses the **workspace owner's** credits, no matter who sent the message. **Settings** → **Workspace** says this at the top, for example "Personal: everyone here uses your credits."

People in your workspace don't spend their own credits on your projects. If you add **Editor** or **Admin** members, keep an eye on your balance. See [How credits work](https://docs.newly.app/billing/how-credits-work.md).

## Remove someone

Removing someone from a workspace removes their access to every project in it, including projects they created there. Those projects stay in the workspace. If they still need one project, [share it](https://docs.newly.app/code/sharing-projects.md) with them.

## Workspaces and project sharing

Workspace roles and project sharing add up. A person gets the higher of their workspace role and any access a project is shared with them.

* A workspace **Viewer** can be given **Can edit** or **Admin** on one project by sharing that project with them.
* **Editors** and **Admins** already have access to every project, so sharing a project with them is refused with "That person already has access through the account that owns it."
* Workspace members appear in a project's **People** list with their workspace role. You change or remove them in **Settings** → **Workspace**, not on the project.

## FAQ

> [accordion] If I share a project with someone who owns a workspace, can their teammates see it?
>
> No. Sharing gives access to that one person only. The project stays in your workspace, and the people in their workspace don't get access to it.

> [accordion] If someone outside my workspace shares a project with me (or with my workspace's owner), does my workspace get access?
>
> No. A project shared with you shows in your **Personal** workspace, and only you can open it. If it's shared with your workspace's owner, only the owner gets it. Its turns use its own owner's credits, not your workspace's.

> [accordion] Can an Editor edit projects other people created?
>
> Yes. An **Editor** can prompt and edit in every project in the workspace, including ones other people created. They can't delete chats, download code, share or delete projects, or manage people.

> [accordion] Can I make an Editor view-only on one project?
>
> No. Workspace roles apply to every project in the workspace, and sharing a project with an **Editor** or **Admin** is refused with "That person already has access through the account that owns it." To limit someone to certain projects, remove them from the workspace and [share](https://docs.newly.app/code/sharing-projects.md) only those projects with them.

> [accordion] Can I share a project with a whole workspace at once?
>
> No. You share a project with one person at a time, by email. To give a group of people every project, add them to your workspace instead.

> [accordion] Can I give a Viewer more access on one project?
>
> Yes. Share the project with them and pick **Can edit** or **Admin**. They keep **Viewer** on the workspace's other projects.

> [accordion] Who pays when someone I shared with sends a message?
>
> The owner of the workspace the project is in. That's you for your own projects, whoever sent the message.

> [accordion] What happens to a project when I transfer it?
>
> It moves to the new owner's **Personal** workspace, and their credits pay for it from then on. It leaves your workspace, so your workspace members lose the access they had through it. You stay on the project as an **Admin**. A project can only be transferred to a person's **Personal** workspace, not into a team workspace. See [Transfer ownership](https://docs.newly.app/code/sharing-projects.md#transfer-ownership).

> [accordion] Can I invite someone without a Newly account?
>
> No. You see "No Newly account for" followed by their address. Ask them to [sign up](https://docs.newly.app/get-started/sign-in.md), then add them.

> [accordion] What happens when I remove someone from the workspace?
>
> They lose access to every project in the workspace, including ones they created. The projects stay. The workspace disappears from their switcher.
