# Email your users

> Send app emails and email campaigns from your own domain with Newly Email.

Newly Email sends email from your app's own domain. There are two kinds:

* **App emails:** emails your app sends on its own, to the people involved in one event. For example sign-up codes, password resets, receipts, alerts and replies. The agent adds these to your backend code.
* **Campaigns:** one email to your subscribers, such as an announcement. You review and send every campaign yourself. The agent can write one, but it can never send or schedule it.

Everything lives in your project's **Integrations** tab, under **Email**. It has three tabs: **Campaigns**, **Contacts** and **Overview**.

## Get ready to send

Until setup is done, the panel shows a checklist, **Get ready to send campaigns**, with three steps. Once all three are done it collapses to a **Ready** pill with your domain.

**1. Email domain**

Email sends from a domain your app owns. Pick one of these:

* **Get a domain:** asks the agent in the chat to help you pick and connect one. Newly sets up a domain it runs the DNS for by itself, usually in 5 to 15 minutes. There is nothing to add.
* **Use a domain you own:** for a domain you bought elsewhere, like `example.com` or `mail.example.com`. Newly shows a few DNS records, and you add them where you manage your domain's DNS. Newly never changes your DNS. See [Use a domain you own](#use-a-domain-you-own).

**2. Sender details**

Add a **Sender name** (shown as who the email is from) and a **Postal address**. The law requires a postal address in every marketing email. **Reply-to (optional)** is a name on your sending domain. Leave it empty to use the sending address.

**3. First subscribers**

People join your list when they tick **Send me updates** in your app. Select **Add the sign-up checkbox** and the agent adds it to your sign-up, unchecked by default. You can also select **Import contacts**.

> [!NOTE]
>
> App emails such as sign-up codes only need the first step. Until your domain is verified, they don't go out. See [Sign-in for your app](https://docs.newly.app/backend/app-sign-in.md#emails-for-password-reset-and-verification).

## Use a domain you own

**1. Add the domain**

Select **Use a domain you own**. Pick a domain already connected to this app, or type another domain you own, then select **Continue**.

**2. Add the DNS records**

Select **Show records** and add each one at your DNS provider:

| Record | What it does |
| - | - |
| CNAME records with `._domainkey.` in the name | Prove emails really come from you |
| MX record | Receives bounce reports |
| TXT record with `v=spf1` | Lets Newly send for your domain |
| TXT record at `_dmarc.` | Tells inboxes how to treat your emails |

The names are short, without your root domain, because most providers add it. If your provider asks for the full name, use the one shown under each record.

**3. Wait for verification**

Newly checks automatically. It usually takes 5 to 30 minutes after you add the records, and you can close the panel. Select **Check now** to check right away.

The domain shows one of these:

| Status | What it means |
| - | - |
| **Waiting for DNS** | Newly can't see all the records yet. |
| **Verified** | Your emails send from this domain. Removing the records at your provider stops them. |
| **Not verified** | Some records did not match. After 6 hours without the records, setup stops. Check each record is added exactly as shown, then select **Check now**. |

Newly also re-checks verified domains. If the records go missing, email from that domain stops until you add them back.

A project can have up to 3 domains of its own waiting for verification at once. A domain another Newly app already uses for email can't be added. For a domain you own, **Remove domain** stops all email from it: sign-up codes, app emails and campaigns. Your contacts and sender details stay. While a campaign is scheduled or sending, pause or cancel it before you remove the domain.

## Contacts

The **Contacts** tab lists everyone on your list.

* A new contact is **Pending** until they confirm by clicking the email Newly sends them. Only confirmed, subscribed contacts get campaigns.
* **Import contacts** takes a CSV file with one email address per row, up to 5,000 rows at a time. A header row is fine, and other columns are ignored. You must tick **These people agreed to get emails from me**. Newly emails them to confirm first.
* **Unsubscribe** next to a contact stops them getting campaigns.

Only add people who agreed to get your emails.

## Send a campaign

**1. Write it**

Select **New campaign** and give it a **Campaign name** (only you see it). Or select **Ask the agent to write one**, and the agent saves a draft for you to review. A draft from the chat shows as a card with **Review and send**.

**2. Edit it**

Set the **Subject**, **Preview text** and **From name**. Under **Audience**, choose **All subscribers** or a topic. The panel shows how many people who confirmed their email it goes to. Ask the agent to change it, or use **Edit code** for the HTML.

Newly adds a footer to every campaign: why they get it, **Unsubscribe**, **Email preferences** and your postal address. Leave it out of your own HTML.

**3. Test it**

Select **Send test to me** to see it in your own inbox.

**4. Review and send**

Select **Review and send**, or **Schedule** to pick a day and time. The review shows who gets it, what it costs and whether it fits today's limit. Nothing goes out until you confirm there.

While a campaign is sending, it carries on if you close the panel. You can **Pause** or **Cancel** it. A paused campaign resumes only through Newly support.

A campaign pauses itself when too many emails bounce or too many people mark it as spam, or when your organization runs out of credits.

### Results

Select **View results** on a sent campaign. It shows **Delivered**, **Opened (estimate)**, **Clicked**, **Unsubscribed**, **Bounced** and **Marked as spam**. Opens count higher than real reads, because some email apps, like Apple Mail, open every email to load its images. Clicks are the number to trust.

## Who can do what

Only an organization owner or admin can send or schedule a campaign, or import contacts.

## Costs

Email uses credits: 0.42 credits per 1,000 recipients. Each recipient counts, so one email to 3 people counts as 3.

* **Campaigns** are charged per campaign. The review shows the cost before you send. Newly holds the credits when sending starts, and a campaign pauses if your balance is too low.
* **App emails and test emails** are added up per day and charged the next day.

See [How credits work](https://docs.newly.app/billing/how-credits-work.md).

## Limits

The **Overview** tab shows today's use against your limits:

| Meter | What it counts | Default per day |
| - | - | - |
| **App emails today (sign-up, receipts)** | Emails your app sends on its own | 1,000 |
| **Campaign emails today** | Campaigns and sign-up confirmations | 2,000 |

* App emails start again at midnight UTC once the limit is reached.
* A campaign bigger than the day's limit sends over several days. The review asks you to confirm the split.
* An app email goes to at most 5 addresses. For more people, use a campaign.
* To raise a limit, contact Newly support.

The **Overview** tab also has **Send me a test email**, to see your sender name, domain and footer in your own inbox, and **Recent activity**.
