A workspace in Newly, at app.newly.app and in Newly for Mac, is a set of projects and the people who work on them. Everyone in a workspace can open all of its projects, and every turn in them uses the workspace owner’s credits. To give someone one project instead of all of them, share that project.

Your workspaces

Every account has a Personal workspace. It holds your own projects and the projects people have shared with you one at a time. When someone adds you to their workspace, it appears under their name. Once you’re in more than one, a switcher appears at the top of Home’s sidebar. It shows the workspace you’re in, its credits and your role there. Select it to pick another workspace. The workspace you pick decides:
  • Which projects Home lists.
  • Where new projects are created.
  • Whose credits Home and billing show.
If you’re removed from a workspace while it’s selected, Home switches back to Personal.

Add people to your workspace

The owner and anyone with Admin can add people, change their role and remove them.
1

Pick the workspace

On Home, pick the workspace in the switcher. If you only have Personal, there’s no switcher, and you manage your own workspace.
2

Open Workspace settings

Go to Settings → Workspace.
3

Add the person

Enter the address they sign in with and choose a role.
4

Confirm

Select Add. Newly checks the address and asks “Add … to this workspace?” with the person’s name. Select Yes, add.
The person must already have a Newly account. If they don’t, you see “No Newly account for” followed by the email address. Ask them to sign up first, then add them again. To change someone’s role, select their current role and pick a new one. To remove them, pick Remove from workspace. The owner’s role can’t be changed and the owner can’t be removed. You can’t change your own role.
There’s no button to leave a workspace yourself. Ask its owner or an admin to remove you.

Roles

A few details:
  • Admin has full access to every project in the workspace, including sharing, deleting and stopping chats.
  • Editor can create projects and prompt in every project in the workspace, including ones other people created. That includes projects they created themselves: an Editor can’t share, delete or transfer any project, even their own.
  • Viewer is read-only and can’t create projects. A viewer who tries sees “Viewers cannot create projects in this workspace.”
On billing, only the Owner can buy credits or change the plan. An Admin can see billing but can’t pay. Editor and Viewer don’t see billing.

Who pays

Every agent turn in a workspace’s projects uses the workspace owner’s credits, no matter who sent the message. Settings → Workspace says this at the top, for example “Personal: everyone here uses your credits.” People in your workspace don’t spend their own credits on your projects. If you add Editor or Admin members, keep an eye on your balance. See How credits work.

Remove someone

Removing someone from a workspace removes their access to every project in it, including projects they created there. Those projects stay in the workspace. If they still need one project, share it with them.

Workspaces and project sharing

Workspace roles and project sharing add up. A person gets the higher of their workspace role and any access a project is shared with them.
  • A workspace Viewer can be given Can edit or Admin on one project by sharing that project with them.
  • Editors and Admins already have access to every project, so sharing a project with them is refused with “That person already has access through the account that owns it.”
  • Workspace members appear in a project’s People list with their workspace role. You change or remove them in Settings → Workspace, not on the project.

FAQ

No. Sharing gives access to that one person only. The project stays in your workspace, and the people in their workspace don’t get access to it.
No. A project shared with you shows in your Personal workspace, and only you can open it. If it’s shared with your workspace’s owner, only the owner gets it. Its turns use its own owner’s credits, not your workspace’s.
Yes. An Editor can prompt and edit in every project in the workspace, including ones other people created. They can’t delete chats, download code, share or delete projects, or manage people.
No. Workspace roles apply to every project in the workspace, and sharing a project with an Editor or Admin is refused with “That person already has access through the account that owns it.” To limit someone to certain projects, remove them from the workspace and share only those projects with them.
No. You share a project with one person at a time, by email. To give a group of people every project, add them to your workspace instead.
Yes. Share the project with them and pick Can edit or Admin. They keep Viewer on the workspace’s other projects.
The owner of the workspace the project is in. That’s you for your own projects, whoever sent the message.
It moves to the new owner’s Personal workspace, and their credits pay for it from then on. It leaves your workspace, so your workspace members lose the access they had through it. You stay on the project as an Admin. A project can only be transferred to a person’s Personal workspace, not into a team workspace. See Transfer ownership.
No. You see “No Newly account for” followed by their address. Ask them to sign up, then add them.
They lose access to every project in the workspace, including ones they created. The projects stay. The workspace disappears from their switcher.
